BlackFlow Technologies (“BlackFlow,” “we,” “us,” or “our”) provides business automation, lead-response, workflow management, recordkeeping organization, receipt organization, and related technology services.

This Privacy Policy explains how we collect, use, disclose, and protect information when you visit blackflowtechnologies.com; submit a contact, inquiry, onboarding, or service form; communicate with us by email, telephone, or text message; purchase or use a BlackFlow service; or use a workflow, form, spreadsheet, storage system, or other automation configured by BlackFlow. By using our website or services, you acknowledge the practices described in this Privacy Policy.

1. Information We Collect

Information you provide directly may include first and last name; business or company name; email address; telephone number; service interests; messages and inquiry details; appointment or consultation information; onboarding responses; customer identification numbers; business preferences and workflow requirements; billing and subscription information; communications sent to or received from BlackFlow; and information submitted through forms or customer workflows. Financial Organizer information may include business income; business expenses; service or product sales; equipment purchases; vehicle expenses; business mileage; transaction dates; vendors; transaction amounts; payment methods; business purposes; receipts and supporting documents; and notes relating to business transactions. The Financial Organizer is a recordkeeping organization tool, not a bookkeeping, tax-preparation, accounting, legal, or financial-advisory service. Do not submit Social Security numbers, tax returns, full bank-account numbers, payment-card numbers, login credentials, medical records, patient information, or other highly sensitive information unless BlackFlow has specifically authorized and secured that information. When you visit our website or interact with our services, we and our service providers may automatically collect Internet Protocol address; browser and device information; referring and exit pages; pages viewed; dates and times of visits; form-submission and workflow-event information; cookie or similar technology information; error logs; and diagnostic information. Payments may be processed by Stripe or another payment processor. BlackFlow generally does not receive or store complete payment-card numbers. Payment processors may collect and process billing information under their own privacy policies.

2. How We Use Information

We may use information to respond to inquiries; schedule consultations; provide requested services; set up and maintain customer workflows; create or update customer records; organize business information submitted through a workflow; send requested or authorized text messages and emails; provide customer support; troubleshoot workflow errors; monitor system performance; detect duplicate, fraudulent, unauthorized, or abusive submissions; process payments and manage subscriptions; improve our website, workflows, and services; protect BlackFlow, our customers, and service providers; maintain business and compliance records; enforce our agreements; and comply with legal obligations.

3.AI-Assisted Processing

Certain BlackFlow services use artificial intelligence or automated rules to classify business transactions, extract information from customer descriptions, organize entries into appropriate categories, identify missing or unclear information, generate draft customer responses, assist with lead follow-up, and route information to the appropriate spreadsheet, database, or workflow. AI-generated results may be incomplete or incorrect. Customers remain responsible for reviewing their records and confirming their accuracy before using them for business, accounting, tax, legal, or financial purposes. Information submitted to an AI-enabled workflow may be processed by Zapier, AI by Zapier, or another configured technology provider.

4.Customer-Owned Storage and BlackFlow Access

For certain services, customer information may be stored in a Google Sheet, Google Drive folder, Microsoft account, or another account owned or controlled by the customer. The customer retains control of the account and stored information. BlackFlow may receive limited technical access necessary to configure, operate, monitor, troubleshoot, repair, or support a workflow. BlackFlow does not claim ownership of customer business records. The customer is responsible for controlling account permissions and removing BlackFlow’s access when services end, where appropriate. BlackFlow cannot promise that no person at BlackFlow could ever technically access customer information. However, we intend to limit access to legitimate setup, support, security, troubleshooting, and service-delivery purposes.

5. How We Disclose Information

We may disclose information to service providers that help operate our website and services, including Framer, Zapier, Airtable, Twilio, Calendly, Stripe, Tally, Google, Microsoft, email, hosting, security, analytics, customer-support, and AI-processing providers used in a configured workflow. These providers process information according to their agreements and privacy practices. We may also disclose information when required by law, legal process, or government request; to investigate fraud, abuse, security issues, or illegal activity; to protect rights and safety; in connection with a merger, acquisition, financing, reorganization, or sale of assets; or at your direction or with your consent. BlackFlow does not sell personal information for money. We do not share telephone numbers or SMS consent information with third parties for their independent marketing purposes.

6. Text Messages and SMS Consent

If you provide your telephone number and affirmatively consent to receive text messages, BlackFlow may send messages concerning your inquiry, requested service information, scheduling, follow-up communications, customer support, workflow notifications, and other communications related to your relationship with BlackFlow. Message frequency varies. Message and data rates may apply. Consent is not a condition of purchase. You may opt out at any time by replying STOP. You may reply HELP for assistance or contact contact@blackflowtechnologies.com. We may send one final message confirming an opt-out request. SMS consent and telephone numbers will not be sold or shared with third parties for their independent marketing purposes.

7.Cookies and Similar Technologies

Our website and service providers may use cookies, pixels, local storage, logs, and similar technologies to operate the website, remember preferences, understand usage, diagnose technical problems, protect against fraud and abuse, and improve performance. You may be able to control cookies through your browser settings; disabling certain cookies may affect website functionality.

8. Data Retention

We retain information for as long as reasonably necessary to provide services, maintain customer and transaction records, resolve disputes, troubleshoot workflows, enforce agreements, and meet legal, tax, accounting, and security obligations. Retention periods depend on the type of information, service involved, customer instructions, and legal requirements.

9. Data Security

We use reasonable administrative, technical, and organizational safeguards appropriate to the nature of the information we process. However, no website, cloud service, transmission method, workflow, or storage system can be guaranteed completely secure. Customers are responsible for protecting passwords and accounts, using appropriate access controls, enabling multifactor authentication where available, reviewing file access, avoiding unnecessary sensitive information, and promptly notifying BlackFlow of suspected unauthorized access.

10. Your Privacy Choices

Depending on your location and applicable law, you may request access, correction, deletion, a copy of certain information, withdrawal of consent, restriction of processing, or information about how data is used or disclosed. To submit a request, email contact@blackflowtechnologies.com. We may need to verify your identity and may retain information for legal, security, billing, fraud-prevention, or contractual purposes.
